What the Integration Does
This connection sends a User File report from Rippling to an Awardco-provided email destination. Awardco uses the report to keep employee data current for your Awardco programs and workflows. After setup and testing are complete, Rippling sends the report automatically on the schedule you choose.
Before You Start
Make sure you have the following ready before you begin:
- Access to Rippling HR and permission to create and schedule a User File report.
- The employee fields your Awardco programs need.
- A plan for how often Rippling should send the report.
- An Awardco contact who can provide the destination email address and help complete field mapping.
Your report must include these fields:
- First Name
- Last Name
- Employee ID
Email is strongly recommended. You may also need fields such as hire date, birth date, or department, depending on the programs and workflows you use. If you are updating existing Awardco users, make sure the Employee IDs in Rippling match the IDs already in Awardco. NOTE: A user who is missing from an incoming report may be archived, so confirm how this behavior applies to your account before sending a partial employee list.
Setting Up the Connection
Follow these steps to create, test, and schedule the report.
1. Create a User File report in Rippling
Create a report in Rippling HR that includes the employee data Awardco needs. Include the required fields listed above and any additional fields your programs use. For more information on User Files, view this article.
2. Get the Awardco destination email address
Contact your Awardco representative to request an email address for your organization's Awardco file destination.
3. Send a test report
Send a test version of the report to the Awardco destination email address. The test file lets Awardco confirm that the report contains the right data and map the Rippling fields to the fields Awardco uses.
4. Complete field mapping and testing
Work with your Awardco contact to review the test report and complete field mapping. Rippling does not allow you to customize the report headers to match Awardco's requirements. Awardco completes the necessary mapping after receiving the test report. Resolve any issues with the report before you schedule ongoing delivery.
5. Schedule the report in Rippling
Set Rippling to email the report automatically on the cadence you choose. Weekly delivery is a standard recommendation. Daily and weekly schedules are common choices, but the best cadence depends on how often your employee data changes.
6. Confirm the first scheduled delivery
After the report is scheduled, confirm that Awardco receives and processes the first scheduled file. If the report cannot be created or sent from Rippling, check the report setup and email delivery in Rippling. If Awardco receives the file but the employee data does not update as expected, contact Awardco Support.
Keeping Your Employee Data Accurate
Use these practices to help prevent user and recognition issues:
- Keep Employee IDs consistent between Rippling and Awardco.
- Include every user who should remain active in Awardco.
- Keep required employee fields populated in Rippling.
- Review the first scheduled deliveries after setup and whenever you change the report.
